    Essential Duties & Responsibilities

    • Develop detailed timelines and manage all planning aspects for meetings: RFP, contracting, accommodations, food & beverage, AV/Decor, registration, exhibitor logistics, onsite execution and travel management.
    • Together with scientific program/education team, develop and manage educational program portfolio products: webinars, on-demand modules, virtual courses, meetings, podcasts, other products as assigned and ensure compliance with ACCME standards.
    • Management of content/learning management system in conjunction with abstracts, faculty, development of agenda.
    • Oversees development of preliminary scientific program, final program and meeting app.
    • Coordinate exhibitor/sponsor logistics with Development team.
    • Partner with Marketing/Communications to promote programs, ensure enrollment goals are met.
    • Social event management including but not limited to sourcing/tastings, contracting, collaborating with DMC where applicable and onsite execution.
    • Post-meeting: Reconcile budget, process invoices, evaluate logistics performance, collect feedback, implement improvements.

    Education, Knowledge, Skills, and Abilities

    • Demonstrated project management and adult learning knowledge.
    • Solid vendor negotiation and contract management skills.
    • Ability to manage onsite operations under pressure.
    • Excellent communication and collaboration skills with volunteers and cross-functional teams.
    • Detailed and strong ability to manage data.

    Qualifications & Experience:

    • Bachelor’s degree required
    • 5-7 years of experience in educational project and meeting management, ideally in healthcare or association setting.
    • Strong project management and client relations skills.
    • Experience with CME accreditation preferred.
    • Must be highly proficient with meeting management technology and digital tools, including abstract management systems, event registration platforms, mobile event apps, and virtual/hybrid meeting solutions. Strong ability to learn and adapt to new software and technology integrations is essential.
    • Ability to manage multiple priorities in a fast-paced environment.

     

    Work Environment and Physical Demands

    While performing the duties of this job, the employee regularly works in an office environment with light noise. Work may be frequently interrupted. The employee will spend the majority of the workday sitting, computing, and talking/hearing. May require lifting (boxes) in the 10-25 lb. range requiring the ability to bend at the waist and knee.

    Schedule and Travel Requirements

    May require more than 37.5 hours per week to perform the essential duties of the position. Ability to travel to meetings at national, regional, or local venues and fulfill evening or weekend obligations. Under 10% air travel is required.

    Starting salary of $80,000-$90,000, commensurate with experience.
